How client credit works
Sometimes a client has paid for a walk or stay that then gets cancelled, or you need to correct their balance manually. PawLoop tracks this as credit on the client's account, which is automatically used on their next invoice.
Find the client's Credit balance
Open the client from Clients and look for the Credit balance card. It shows their current balance, plus a history of what's added or deducted.
Understand how cancellations create credit
If you cancel a walk or boarding stay that was already paid, PawLoop automatically adds the amount as credit to the client's balance, so you don't lose track of money owed back to them.
This shows in the history as a Cancelled booking entry.
See how credit is used
Credit is applied automatically to the client's next invoice. If a balance is negative, it means the client owes that amount and it will be added to their next invoice instead.
If some credit is currently held against a draft invoice, you'll see a note showing how much is reserved that way.
Make a manual credit adjustment
On the Credit balance card, click Adjust. Choose Add credit or Deduct credit, enter the amount, and add a short reason — this is required and is shown in the client's credit history.
Click Save adjustment to apply it straight away.
Review the credit history
The list below the balance shows each entry — cancellations, manual adjustments and credit used on an invoice — with the date, reason and amount, so you always have a clear record.
