How late fees are charged and invoiced

Once a day your overdue invoices are checked. Any invoice that is still unpaid, past its due date and past your grace period picks up a fee.

Paid and voided invoices are skipped, and each invoice can only ever be charged once.

On Settings, Business, Late fees you can use "Apply now" to run the check straight away rather than waiting for the next day. This does not change or skip the daily run.

The Overdue invoices list on the same page shows every unpaid invoice past its due date, how many days late it is, and either the fee already charged, the date the fee will apply if it is still inside your grace period, or the amount due on the next run.

The charge is added to the client as a balance debit named after the invoice it came from, for example "Late fee, invoice INV-1043", so the reason is always clear.

The next time you invoice that client, whether you raise it yourself or automatic billing does it, each outstanding late fee is added as its own named line with its description. It is not rolled into the general balance line.

The line shows on the invoice on screen, in the emailed invoice, in the PDF and in the client portal.

Void or delete an invoice that carried a late fee and the fee goes back into the pool, ready to be added to the next invoice instead. Nothing is lost and nothing is double charged.
