How free walks while a pet is in day care work

Many businesses include walks in the day care price. PawLoop can do that for you automatically, so a walk booked while a pet is already in day care saves at £0.00 and never reaches an invoice. Here is how to set it up and exactly what to expect.

Understand what the setting does

On any service whose type is Day care, you can switch on 'Walks are free while a pet is in day care'. When it is on, a walk that overlaps that day care session is not charged for the pet attending day care.

It works pet by pet. On a group walk, only the pet in day care is taken out of the price. Everyone else is charged as normal.

Turn it on for your day care service

Go to Settings, then Business, then Services. Open the service you use for day care, or add a new one.

Set the service type to Day care. The extra option appears underneath. Switch on 'Walks are free while a pet is in day care' and save. The services list then shows a small 'Free walks' tag against it.

  • The option only shows for Day care services.
  • It is off by default, so nothing changes until you turn it on.
  • You can have one day care service with it on and another with it off, for example a premium day care that includes walks.

Example with the setting switched ON

Honey is booked into Day care from 08:00 to 17:00 on Tuesday. You then book a 12:00 group walk and add Honey to it.

In the booking window Honey gets a 'Day care' badge, the total shows £0.00 with the normal price struck through, and a short note explains that Honey is in day care at this time so is not charged for this walk. Save it and the walk sits on the calendar at £0.00, so it never appears on an invoice.

Example with the setting switched OFF

Same Tuesday, same 08:00 to 17:00 day care, same 12:00 walk. With the setting off, nothing special happens. Honey has no badge, the walk saves at your normal walk price, for example £17.00, and it is billed with everything else.

That is the right choice if you charge day care and walks separately.

Timing matters

The free walk only applies when the walk falls inside the day care start and end times. A 12:00 walk during an 08:00 to 17:00 day care is free. A 19:00 walk after a 17:00 collection is charged as normal, because the pet is no longer in your care under that day care booking.

Changes are picked up automatically

You do not have to book things in a particular order. If a walk is already in the calendar and you add day care over the top of it, PawLoop zeroes that walk. That includes walks created by a recurring loop.

If the day care is later cancelled or deleted, the walk goes back to the price it had before, so you are never left with a £0.00 walk you meant to charge for.

How boarding compares

Boarding behaves differently and needs no setting. While a pet is on a boarding stay, walks for that pet on those dates are always zeroed, because the walk is part of the stay.

Day care is opt in per service, boarding is automatic.

Overriding the price

The price field stays editable. If you want to charge for a particular walk even though the pet is in day care, type the amount over the £0.00 before you save. PawLoop keeps what you type.
